We collect and hold personal information (whether from organisations or individuals) for the purpose of processing applications for grants. This statement explains what information we hold, how we use it and how long we keep it.
Your information
Applications to the Vaughan Williams Foundation for funding are accepted from individuals and organisations. The information we collect from individuals can include a wide range of personal data such as contact details, date of birth, nationality, academic qualifications and financial circumstances. From organisations we require contact details of the person making the application on the organisation’s behalf, which sometimes includes that person’s private address.
The Foundation maintains a record of all applications received, successful and unsuccessful for the purpose of internal statistical research. This includes the individual’s/organisation’s name, project description and the trustees’ decision but does not include any personal data.
For all successful applicants, personal data is kept for audit purposes for seven years from the financial year in which the payment was made. Personal information relating to unsuccessful applicants is not retained.
What we use your information for
We hold your personal data for administrative purposes, for communicating with you and your organisation and for fulfilling any contractual obligations under the terms of a grant and to comply with regulatory audit requirements.
Any information you provide will be held securely and used only for the purpose specified. Your personal details will not be disclosed to or shared with third parties.
Your rights
We have taken steps to ensure that we comply with the relevant legislation, including the General Data Protection Regulation (2018). You have the following rights with respect to your personal data:
- To request a copy of your personal data which the Foundation holds about you
- To request that the Foundation corrects any personal data if it is found to be inaccurate or out of date
- To request your personal data is erased where it is no longer necessary for the Foundation to retain such data, or where you believe that it is being held outside our stated policy
- To request that we supply your data in a structured, commonly used, machine-readable format.
